Important information for our travellers

These Terms and Conditions set out the conditions that apply to enquiries, bookings, contracting and delivery of the tourism services offered by Inversiones Turísticas Sakura Expedition E.I.R.L., trading as Sakura Expedition.

We recommend reading this document carefully before making a booking. By making a booking or contracting any of our services, the client declares that they have read and accepted these Terms and Conditions, together with any particular conditions that may apply to the service purchased.

1. General information

Inversiones Turísticas Sakura Expedition E.I.R.L., with tax ID (RUC) No. 20600271319 and trading as Sakura Expedition, is a company dedicated to organising, selling and delivering tourism services in Cusco and other destinations in Peru.

Through its website, Sakura Expedition offers different tourism experiences and services, including half-day and full-day tours, trips to Machu Picchu, the Inca Trail, mountain treks, private tours, travel packages and combined experiences.

Services may be delivered directly by Sakura Expedition or, where applicable, through tourism suppliers duly contracted for particular components of the trip.

The particular conditions of each service, including itinerary, duration, inclusions, exclusions, schedules, prices and specific requirements, will be given to the client before or during the booking process.

2. Acceptance of the terms and conditions

Making a booking through the website, by email, via Whats App or through any other official Sakura Expedition channel implies acceptance of these Terms and Conditions.

The client declares that the information provided during the booking process is true, complete and up to date.

When a booking includes several travellers, the person making the booking is responsible for providing the requested information correctly for all participants.

If the client has any doubt about the conditions of a service, they should contact Sakura Expedition before making payment. Our team is available to provide information and clarify the applicable conditions.

3. Bookings

To request a booking, the client must complete the form available on our website and provide the information needed to organise the service correctly.

Depending on the type of experience, we may request:

  • Full name of each traveller.
  • Nationality.
  • Passport or identity document number, where applicable.
  • Date of birth or age, where this is needed to determine rates or requirements.
  • Type of trip (group or private).
  • Planned travel date.
  • Service selected.
  • Hotel details or pick-up point.
  • Telephone number and email address.
  • Information about dietary restrictions or preferences.
  • Relevant information about physical conditions or special needs that may affect the safe delivery of the service.

The information requested will depend on the characteristics and requirements of each service.

A booking is not considered definitively confirmed until Sakura Expedition has checked availability and sent the client the corresponding confirmation by email.

Sending a booking request does not in itself guarantee that the service is available.

4. Booking confirmation

Once the booking request has been received, Sakura Expedition will check the availability of the service requested and inform the client of the conditions for completing the purchase.

As a general rule, every booking must be paid in full (100%) to be confirmed. Final confirmation of the service will be sent to the email address provided by the client once availability has been checked and payment has been received.

Exceptionally, where the nature of the service requires tickets, permits, train tickets, transport, accommodation or other services to be purchased in advance in order to secure the booking, Sakura Expedition may authorise a partial payment, provided that it is more than 50% of the total value of the service and covers the costs needed to arrange and secure the components of the booking.

Whether a partial payment is possible will be assessed and authorised by Sakura Expedition on a case-by-case basis. A partial payment does not mean that the remaining balance may be cancelled later without conditions, so the client must pay the outstanding amount within the period indicated by Sakura Expedition.

The booking is not considered confirmed until Sakura Expedition has received the agreed payment and has sent the client the corresponding confirmation by email.

The payment conditions and the deadline for paying any outstanding balance will be communicated to the client before the purchase is completed.

5. Payment methods

Subject to availability and to the conditions of each transaction, Sakura Expedition accepts the following payment methods:

  • Visa.
  • Mastercard.
  • American Express.
  • Diners Club.
  • Pay Pal.
  • Bank transfer.

Transactions made through certain payment systems may be subject to fees, administrative charges or conditions set by the corresponding financial institution or platform.

Where a fee applies, it will be communicated to the client before payment is made.

Once payment has been made, Sakura Expedition will send the corresponding confirmation to the email address provided by the client.

6. Prices and services included

The prices published on the website correspond to the services and conditions described in each experience.

Each itinerary states, as applicable, which services are included in the price and which are not.

The price may vary depending on:

  • Type of service.
  • Availability of tickets or permits.
  • Category of transport or accommodation.
  • Additional services requested.
  • Conditions set by external suppliers.

Additional services that are not part of the original booking may incur an extra cost, which will be notified to and accepted by the client before it is contracted.

7. Payment conditions and outstanding balance

Where the client has made only a partial payment, the outstanding balance must be paid within the period stated in the booking confirmation.

That period may vary depending on the service purchased.

For services requiring the advance purchase of tickets, permits, train tickets, accommodation or other components, failure to pay the balance within the period established may result in the loss of the booking or in the impossibility of guaranteeing certain services.

No traveller may start a service while a balance remains outstanding, unless expressly authorised by Sakura Expedition.

8. Changes requested by the client

The scope for changes depends on the nature of the service purchased and on the conditions of the components included in the booking.

8.1. Traditional tours

For services such as the Cusco City Tour, Rainbow Mountain, Humantay Lake, Sacred Valley, South Valley, Maras and Moray, the Textile Tour and other similar services that do not require the advance purchase of tickets, permits or other services subject to change restrictions, Sakura Expedition may allow changes of details or dates provided that:

  • The change is requested at least 10 days before the date originally booked.
  • There is availability on the new date requested.
  • The service does not include previously purchased components that do not allow changes.
  • The change does not generate additional costs from suppliers.
  • The request is made in writing through Sakura Expedition's official channels.

Changes meeting these conditions may be made without an additional penalty.

Where the requested change involves a price difference or generates additional third-party costs, these must be paid by the client once notified and accepted.

8.2. Services with tickets, permits or advance bookings

Where a booking includes tickets, permits, train tickets, accommodation, transport or other services purchased or confirmed in advance, the scope for changes is subject to the conditions set by the corresponding authority, supplier or operator.

Sakura Expedition cannot guarantee changes when the supplier or responsible body does not allow changes of date, name, ownership, time, route or any other detail associated with the service.

Where a change is permitted, it will be subject to:

  • Availability.
  • The supplier's conditions.
  • The deadlines set by the supplier.
  • Applicable penalties or charges.
  • Any difference in rate that may arise.

Any additional cost arising from a change requested by the client will be borne by the client.

8.3. Machu Picchu

Bookings that include tickets to Machu Picchu are subject to the conditions set by the competent authority.

Once the ticket has been purchased and issued, no request from the client to change or cancel the date, traveller's name, time, circuit, route or any other detail associated with the ticket will be accepted where such changes are not permitted by the responsible authority.

As an exception, Sakura Expedition may arrange the correction of minor errors in personal details where the rules and procedures of the corresponding authority allow it — for example, updates related to the renewal or loss of a passport.

Any correction remains subject to the conditions and procedures established by the competent authority and does not constitute a guarantee that the booking will be changed.

8.4. Inca Trail

Because the Short Inca Trail and the Classic Inca Trail require permits, places and other associated services to be arranged in advance, the conditions for changes are particularly restrictive.

Once the corresponding permit has been confirmed and issued, no changes of date, traveller's name, ownership, route or any other detail associated with the permit will be accepted where these are not permitted by the competent authority.

Likewise, an Inca Trail booking cannot be cancelled at the client's request once the permit and the associated non-refundable services have been purchased or confirmed.

Only the correction of minor errors in personal details may be requested, where the procedures and provisions of the corresponding authority allow it, including certain typographical errors or updates arising from the renewal or loss of a passport.

Any correction is subject to assessment and authorisation by the competent authority and does not imply any change to the date, ownership or conditions of the permit.

8.5. Salkantay, Choquequirao and other multi-day treks

Multi-day treks may include transport, accommodation, meals, tickets, permits, guides, equipment and other services contracted in advance.

For that reason, any change is subject to availability and to the conditions set by the corresponding suppliers.

In the case of the Salkantay Trek, where the programme purchased includes tickets to Machu Picchu, trains or other services subject to advance booking, the conditions for changing those components are those set out in the corresponding sections of these Terms and Conditions.

In particular, where the service includes a Machu Picchu ticket that has already been purchased, the date, traveller's name, circuit or any other detail associated with that ticket cannot be changed where the competent authority does not allow such changes.

Sakura Expedition will inform the client of any additional cost before carrying out a change that has been authorised.

8.6. Trips and tours in Peru operated by partner suppliers

Sakura Expedition also offers experiences, tours, circuits and trips to different destinations in Peru whose operation may be carried out wholly or partly by tour operators, companies, suppliers and other service providers associated with Sakura Expedition.

In these cases, Sakura Expedition handles the coordination, sale and management of the booking, while the actual delivery of certain services is the responsibility of the corresponding supplier, in accordance with the particular conditions of each experience.

Because of this operating model, any change, modification, rescheduling, cancellation or special request related to these services is subject to the availability, conditions, policies and procedures established by the supplier or operator responsible.

8.7. Services that cannot be changed or cancelled by their nature

Whatever the type of experience purchased, where a booking includes services acquired in advance which, by decision of the competent authority or by the supplier's conditions, are non-modifiable, non-transferable or non-refundable, those components cannot be cancelled, transferred or changed at the client's request.

This may apply, among others, to:

  • Inca Trail permits.
  • Machu Picchu tickets.
  • Train tickets subject to restrictive conditions.
  • Accommodation bookings with non-refundable rates.
  • Other services expressly confirmed under non-refundable conditions.

In these cases, if the client requests cancellation of the experience, the amounts corresponding to services already purchased and not recoverable will be deducted from any amount to be refunded, in accordance with the applicable cancellation policy.

Where all the components paid for are non-refundable, no refund will be due.

The particular conditions applicable to each service will be communicated to the client during the booking process.

9. Cancellations requested by the client

Cancellation requests must be made in writing to ventas@sakuraexpedition.com.

The date used to determine the penalty is the date and time at which Sakura Expedition receives the cancellation request. For services that have no special cancellation conditions set by authorities or suppliers, the following general policy applies:

The percentages above are the penalty applied to the total value of the service and may change where the booking includes components subject to particular conditions of cancellation, modification or refund.

9.1. Services with non-refundable components

Where the booking includes tickets, permits, train tickets, accommodation, transport or other services purchased in advance, the value of those components that cannot be cancelled or refunded by the corresponding supplier will be deducted from the amount to be returned.

The refund percentage shown in the table above therefore does not guarantee a fixed percentage of return where non-refundable services have already been purchased.

For example, if a client cancels a service within the period in which a refund applies, but Sakura Expedition has already purchased non-refundable tickets, permits or bookings, the cost of those services will be deducted from the amount to be refunded.

9.2. Inca Trail, Machu Picchu and services with non-refundable advance bookings

Bookings for the Inca Trail, services that include tickets to Machu Picchu and any other experience whose components have been purchased under non-refundable conditions are subject to the particular conditions communicated to the client before the booking is confirmed.

Once the permits, tickets or non-refundable services have been purchased, a cancellation requested voluntarily by the client does not give rise to a refund of the amount corresponding to those services.

Where the whole amount paid corresponds to non-refundable services, no refund will be due.

Where only part of the services is non-refundable, Sakura Expedition will calculate the refund on the amount actually recoverable, deducting the non-recoverable costs and applying, where appropriate, the penalty set out in the general cancellation policy.

9.3. Particular conditions of suppliers

For trips and experiences operated wholly or partly by partner suppliers, cancellations are subject to the conditions established by each supplier.

Sakura Expedition will submit the cancellation request to the corresponding supplier and inform the client of the outcome.

Where a supplier makes no refund for a service already purchased, Sakura Expedition will not be able to return the corresponding amount to the client.

9.4. Cancellation requests and services already started

Once the service has started, a voluntary decision by the client to leave, interrupt or not use part of the experience purchased does not automatically give rise to a refund for the services not used.

Exceptional cases will be assessed according to the circumstances, the suppliers' conditions and the applicable legislation.

10. Refunds

Where a refund is due, Sakura Expedition will process it in accordance with the policy applicable to the service. Whenever technically possible, the refund will be made using the same payment method used by the client.

The time needed for the amount to appear in the client's account may depend on the bank, card, payment platform or financial operator used.

Fees charged by payment platforms or financial institutions may be taken into account where they are not recoverable by Sakura Expedition.

No refunds will be made for services voluntarily not used by the client where they have decided not to take part after the service has started or been confirmed, unless the particular conditions state otherwise.

11. No-show and punctuality

The client must be present at the place and time stated in their booking confirmation.

A no-show is deemed to occur when the client does not attend the agreed meeting or pick-up point without prior notice and express coordination with Sakura Expedition.

In the event of a no-show, the service may be considered used and no refund will be due.

For operational reasons, clients are advised to be ready at the pick-up point with the notice indicated.

12. Changes made by Sakura Expedition

Sakura Expedition may make reasonable changes to the itinerary where these are necessary to protect the safety of travellers, comply with instructions from the authorities, respond to weather conditions, operational restrictions, availability of services or other circumstances that may affect the normal running of the trip.

Where possible, the client will be informed in advance. Changes will seek to preserve the essence and quality of the experience purchased.

Where a change involves substantially replacing a service or significantly affecting what was contracted, Sakura Expedition will assess the alternatives available according to the circumstances and the applicable regulations.

13. Weather, force majeure and extraordinary circumstances

Certain tourism activities take place in natural environments and are subject to conditions that Sakura Expedition cannot control.

These may include heavy rain, landslides, rockfalls, rising rivers, road closures, strikes, demonstrations, restrictions imposed by the authorities, accidents or other extraordinary circumstances beyond the reasonable control of Sakura Expedition.

Where such circumstances make it necessary to change, suspend or cancel an activity, the safety of travellers will take priority and the most suitable available alternative will be offered. Refunds or compensation, where due, will be assessed taking into account the services actually delivered, the non-recoverable costs and the conditions of the suppliers involved, without prejudice to the rights of the consumer under the applicable legislation.

14. Health and physical condition

Some services offered by Sakura Expedition involve long walks, steep ascents and descents, altitude, exposure to cold, rain, solar radiation and other conditions typical of the natural environment of Cusco and the Andes.

Clients must assess their physical condition before booking an activity and report any circumstance that may be relevant to the safety of their participation. We recommend taking out travel insurance covering medical emergencies, accidents, evacuation and other travel-related eventualities.

Sakura Expedition does not generally require travel insurance to be taken out; however, doing so is strongly recommended.

15. Luggage and personal belongings

The client is responsible for their personal belongings during the trip. Sakura Expedition recommends keeping documents, money, electronic devices, medication and valuables under personal supervision.

Where the service includes transport, accommodation or other third-party services, the particular conditions of those suppliers may apply.

Sakura Expedition will not be liable for loss or damage caused by the client's own negligence or by circumstances beyond its control, without prejudice to any liability that applies by law in each case.

Where a client experiences an incident during the service, we recommend reporting it immediately to the Sakura Expedition team so that it can be assessed and, where possible, resolved during the trip.

Sakura Expedition keeps a Complaints Book (Libro de Reclamaciones), through which consumers may submit any claims or complaints they consider appropriate, in accordance with current Peruvian regulations.

17. Intellectual property

The content published on the Sakura Expedition website, including texts, photographs, videos, graphics, logos, designs and other elements, is protected by the applicable intellectual property legislation.

It is not permitted to reproduce, distribute, modify or commercially exploit this content without the prior authorisation of Sakura Expedition or of the corresponding rights holder.

18. Information published on the website

Sakura Expedition endeavours to keep the information published on its website up to date.

However, certain prices, schedules, availability, routes, entry conditions and services may vary because of decisions by authorities or suppliers, seasons, weather conditions or other factors.

The definitive information for a booking is that confirmed by Sakura Expedition at the time the service is purchased, together with the particular conditions communicated to the client.

19. Liability

Sakura Expedition undertakes to organise and deliver its services diligently and in accordance with the conditions communicated to the client.

The company will not be liable for circumstances beyond its reasonable control, including certain decisions by authorities or suppliers, natural phenomena, strikes, social unrest, transport cancellations or other extraordinary situations.

The above applies without limiting the rights of the consumer under current Peruvian legislation.

20. Applicable law

These Terms and Conditions shall be interpreted in accordance with the laws in force in the Republic of Peru.

Any dispute relating to the services purchased will first be handled through Sakura Expedition's customer service channels, without prejudice to the consumer's right to turn to the authorities, conciliation mechanisms, the Complaints Book or other channels recognised by the applicable legislation.

21. Changes to the terms and conditions

Sakura Expedition may update these Terms and Conditions where necessary because of changes to its services, procedures, suppliers or applicable regulations.

Changes will be published on the website and will apply to new bookings made after publication.

The particular conditions accepted and confirmed for an existing booking will not be changed unilaterally by Sakura Expedition, except where this is necessary because of legal provisions, extraordinary circumstances or service conditions previously notified to the client.

22. Acceptance

By making a booking through the Sakura Expedition website, the client declares that they have had access to these Terms and Conditions, that they have read them and that they accept the conditions applicable to the service purchased.

The specific conditions of each experience, where they exist, form part of the contractual information provided to the client before the booking is confirmed.
